Can You Use Outlook Desktop With Microsoft 365 Business Basic?

By Gander Web · Checked against Microsoft's documentation on 9 October 2026 · 6 min read

Short answer

No. Business Basic doesn't include a licence for desktop Outlook, so the new Outlook for Windows, classic Outlook and Outlook for Mac all refuse a Business Basic account on its own. Outlook on the web and the Outlook phone app work normally. If one person needs a desktop inbox, the cleanest fix is to move that one person to Business Standard and leave everyone else on Basic.

What works with Business Basic

Business Basic is Microsoft's web and mobile plan. The mailbox itself is a full Exchange Online mailbox. What changes is which apps you're licensed to open it with.

Which email apps work with a Microsoft 365 Business Basic account
AppWorks with Basic?Notes
Outlook on the web (outlook.office.com)YesFull mailbox, calendar and shared mailboxes, in any browser.
Outlook for iPhone and AndroidYesFree app. Shared mailboxes work here too.
Apple Mail on iPhone and iPadYesConnects with Exchange ActiveSync, which isn't affected by the EWS switch-off below.
New Outlook for WindowsNot on its ownNeeds a licence that includes the desktop apps.
Classic Outlook for WindowsNoComes with Business Standard or Premium, not Basic.
Outlook for MacNot on its ownAccepts extra accounts once it's activated by a licensed one. See below.
Outlook 2024 bought outrightYesSupported for connecting to Microsoft 365 until 9 October 2029.
Outlook 2021 bought outrightUntil 13 Oct 2026After that the connection still works for now, but Microsoft no longer supports it.
Outlook 2016 or 2019UnsupportedSupport for connecting ended on 10 October 2023.
Apple Mail on MacAt riskUses Exchange Web Services, which Microsoft began switching off on 1 October 2026.

Why Outlook says your account isn't supported

When you add a Business Basic account to the new Outlook for Windows, it checks the licence and stops with this message:

This account is not supported in Outlook for Windows due to the license provided by your work or school. Try to login with another account or go to Outlook on the web.

Microsoft's documentation says accounts on plans "that don't carry licenses for Outlook client apps" aren't supported. Business Basic is one of those plans. Outlook for Mac does the same check and shows a licence error. Nothing is wrong with the mailbox; the app is doing what the licence says.

The free Outlook for Mac you may have read about covers personal accounts only: Microsoft lists Outlook.com, Gmail, iCloud, Yahoo and IMAP. Work accounts still need a licence that includes the desktop apps.

The second-account workaround

Microsoft documents one exception for the Mac: "Once Outlook for Mac is activated by a properly licensed account, you can add as many additional accounts as you would like regardless of license status." So if Outlook for Mac is already activated with a licence that includes the desktop apps (a Business Standard work account, or a personal Office licence), a Business Basic account can be added alongside it.

On Windows, people report the same behaviour in the new Outlook, but Microsoft's Windows documentation doesn't describe it. Treat it as something that works today rather than something you can rely on.

It's a reasonable stopgap for a sole trader who already pays for Microsoft 365 Personal or Family at home. For a team we'd avoid it. Admins can block personal accounts in Outlook (Microsoft provides a policy for exactly that), each person needs their own qualifying licence anyway, and your company email ends up depending on someone's home subscription.

Already own Office 2021 or 2024?

An Outlook you bought outright doesn't check your Microsoft 365 plan, so it will open a Business Basic mailbox. The question is how long Microsoft supports that version connecting to Microsoft 365:

  1. 10 Oct 2023Office 2016 and 2019 lose support for connecting
  2. 1 Oct 2026Microsoft starts switching off Exchange Web Services
  3. 13 Oct 2026Office LTSC 2021 loses support for connecting
  4. 1 Apr 2027Exchange Web Services fully switched off
  5. 9 Oct 2029Office LTSC 2024 loses support for connecting
Microsoft support dates for connecting Office to Microsoft 365

Microsoft's wording for unsupported versions is that they "might still be able to connect" but may hit "unexpected performance or reliability issues" over time. If your team is on Office 2021, it will keep working next week, but budget for a change.

If you're buying, check the edition. Office Home & Business 2024 includes Outlook. Office Home 2024 doesn't.

Mac users: Apple Mail and the EWS switch-off

This one affects people right now. Apple Mail and Calendar on the Mac talk to Microsoft 365 through Exchange Web Services (EWS). Microsoft announced in 2023 that it would disable EWS in Exchange Online, started doing so on 1 October 2026, and plans to finish on 1 April 2027. The rollout is gradual, so some businesses lose Apple Mail sync before others.

Apple says it's working with Microsoft to move the Mac apps to Microsoft Graph in a future macOS update, but at the time of writing that update hasn't shipped. iPhone and iPad aren't affected, because they use Exchange ActiveSync.

That leaves a Business Basic user on a Mac with three choices:

  1. Switch to Outlook on the web. It works today and won't be affected.
  2. Ask your admin to keep EWS on for Apple Mail until April 2027. Microsoft added an allow list (EWSAllowedAppIDs) so specific apps can keep using EWS while EWSEnabled is set to True. It buys time, not a permanent fix.
  3. Move that person to Business Standard and use Outlook for Mac, which doesn't depend on EWS.

Which fix to pick

Everyone's fine in a browser. Stay on Basic. Make Outlook on the web feel like an app: in Microsoft Edge open outlook.office.com, then the … menu, Apps, Install this site as an app. Chrome has the same option under its menu (Cast, save and share, Install page as app). It gets its own window, taskbar icon and notifications.

One or two people need desktop Outlook. Give just those people Business Standard. Licences are per person, so a mixed account is normal and nobody else changes. At Microsoft's UK list prices Standard costs about twice as much as Basic per person.

You already own Office Home & Business 2024. Install Outlook 2024 and sign in with the Business Basic account. It's supported until October 2029.

You're on Office 2021 or older. It may keep working for a while, but it's unsupported or about to be. Plan the move rather than waiting for it to break.

You use Apple Mail on a Mac. Move to Outlook on the web now, or to Business Standard and Outlook for Mac, before Apple Mail stops syncing.

Questions

Does the new Outlook work with Business Basic?

Not as the only account. The new Outlook for Windows rejects work accounts whose licence doesn't include the desktop apps, and Business Basic doesn't. Outlook on the web and the Outlook phone app work fine.

Is Outlook desktop included in Microsoft 365 Business Basic?

No. Business Basic covers the web and mobile versions of Outlook. Desktop Outlook on Windows or Mac comes with Business Standard, Business Premium or Microsoft 365 Apps for business.

Can I use classic Outlook with Business Basic?

Only if the Outlook itself is licensed some other way, for example Office Home & Business 2024 bought outright, which Microsoft supports for connecting to Microsoft 365 until October 2029. Office 2016 and 2019 are no longer supported for connecting, and Office 2021 support ends on 13 October 2026.

Is Outlook for Mac free?

For personal accounts such as Outlook.com, Gmail, iCloud, Yahoo and IMAP, yes. A work account on Business Basic still needs a licence that includes the desktop apps, unless Outlook for Mac was already activated by a licensed account.

Will Apple Mail on my iPhone stop working?

No. iPhone and iPad Mail connect with Exchange ActiveSync, which isn't part of the Exchange Web Services retirement. Apple Mail on the Mac is the one affected.

Can I give just one person desktop Outlook?

Yes. Microsoft 365 licences are per person, so you can put one person on Business Standard and keep everyone else on Business Basic in the same account.
