Skip to contentAdding a new team member to Microsoft 365 takes just a few minutes in the admin centre. You create the user account, assign the right licence for their role, and their email and apps are provisioned automatically. Below are the most common questions about creating and managing Microsoft 365 users, and remember, Gander Web can set up and manage your whole tenant for you if you'd rather not touch the admin centre at all.
Frequently Asked Questions
How do I create a user in the Microsoft 365 admin centre?
Sign in to the Microsoft 365 admin centre, go to Users > Active users, click Add a user, enter their name and username, assign a licence, and finish. The account is ready to sign in immediately.
What licence does a new user need?
Assign a licence that matches their role. Business Basic for web and email only, or Business Standard/Premium if they need the desktop Office apps and added security. A user can't use the apps without a licence.
How do I set up the new user's email?
Once a licensed user is created, their mailbox is provisioned automatically on your domain. They sign in at office.com or set up Outlook on their devices with their new address.
Can I add several users at once?
Yes. The admin centre supports bulk user creation by uploading a CSV file, which is the quickest way to onboard a whole team in one go.
How do I reset a user's password?
In Users > Active users, select the person and choose Reset password. You can set a temporary password and require them to change it at next sign-in.
How do I assign or change a user's licence?
Open the user in Users > Active users, go to the Licences and apps tab, tick the licence you want to assign or untick one to remove it, then save. Changes apply within a few minutes.
What happens to a user's email when they leave?
You can block their sign-in, convert the mailbox to a shared mailbox so colleagues keep access to past email, then remove the licence to free it up for someone else: we can handle this for you.
